  • Organization data: organization name, timezone, field names, and team names
  • Booking data: practice scheduling information, booking requests, and admin notes
  • Communication data: messages sent through the platform, email template customizations
  • Payment information: billing details processed securely through Stripe (we do not store credit card numbers)

Information Collected Automatically

  • Usage data: pages visited, features used, booking patterns, and interaction data
  • Device information: browser type, operating system, and screen resolution
  • Log data: IP address, access times, and referring URLs

Information from Third Parties

  • TeamSnap: if you connect TeamSnap, we import team rosters, game schedules, and division information as authorized by you
  • Stripe: subscription status and payment confirmation (no credit card details)

  • Process bookings, manage schedules, and facilitate team coordination

  • Organization members: your name and email are visible to other members of organizations you belong to
  • Service providers: we use third-party services to operate the platform, including hosting (Coolify/Docker), email delivery (UseSend), payment processing (Stripe), and analytics (PostHog)
  • Legal requirements: we may disclose information when required by law, regulation, or legal process
  • Business transfers: in the event of a merger, acquisition, or sale of assets, your information may be transferred

5. Data Retention

We retain your account and booking data for as long as your account is active. If you delete your account, we will remove your personal information within 30 days, except where retention is required by law or for legitimate business purposes (such as resolving disputes or enforcing agreements). Anonymized usage data may be retained indefinitely for analytics purposes.

6. Data Security

We implement appropriate technical and organizational measures to protect your information, including encrypted connections (TLS/SSL), secure password hashing, role-based access controls, and regular security reviews. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

The Service is not directed at children under 13. While the platform manages youth sports organizations, accounts are created by adult coaches and administrators. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.

10. Email Communications

We send transactional emails related to your use of the Service (booking confirmations, invitation links, status updates). These are essential to the Service and cannot be opted out of while your account is active. We honor email bounce and spam complaint signals and will automatically suppress delivery to addresses that have bounced or reported our emails as spam.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes via email or through the Service. The "Last updated" date at the top indicates when the policy was last revised.
